Our client, an established middle-market boutique investment bank with a private equity arm, is opening an NYC office and looking for an Executive Administrative Assistant / Office Manager to join their team. The ideal candidate is collaborative, resourceful, even keeled, detail oriented, and have a demonstrated ability to manage multiple projects and the flexibility to adhere to the evolving needs of the organization.

POSITION: Executive Administrative Assistant / Office Manager
LOCATION: New York, NY (Midtown)
HOURS: : 8am-5pm OR 9am-6pm
COMPENSATION: $80-100K Base (Depending on Experience) + Benefits + Bonus eligible
BACHELOR''S DEGREE REQUIRED: Preferred but not required
Responsibilities of the Executive Administrative Assistant / Office Manager:
-Assist with other projects and office initiatives as needed
-Proactively arrange complex travel schedules and reservations, and create back-up plans that anticipate the unexpected
-Schedule and coordinate internal/external meetings
-Build relationships with clients, business prospects and their assistants
-Handle email and phone communications on behalf of senior leaders
-Act as the point of contact between senior leaders and internal/external contacts
-Prepare expense reports, letters, and other documents as required and/or necessary
-Be aware of industry events and conferences to facilitate the coordination of logistics if senior leaders and other firm members will be in attendance
-Prioritize and manage multiple projects simultaneously, and follow through in a timely manner
-Perform other administrative support duties as requested
-Oversee and support day-to-day operations of the office
-Responsible for vendor management and implementing best practices to ensure all office supplies are kept at adequate levels (i.e. printer, phone service, internet service, cleaning service, kitchen pantry, etc.)
-Interact daily with internal and external senior professionals and partners
-Manage overall facilities maintenance, including but not limited to, repair requests, cleanliness of office spaces, construction, and coordinate with building management and other outside vendors
-Facilitate necessary on-boarding procedures including new building ID passes, IT/equipment set-up, desk set-up, etc.
-Maintain confidentiality and communicate professionally with internal and external customers
Requirements of the Executive Administrative Assistant / Office Manager:
-3+ years Administrative/Office Management experience, preferably within a financial services firm
-Demonstrate impeccable communication skills, both written and verbal, and the ability to succinctly convey complex information
-Flexible in daily routine; ability to prioritize and manage shifting responsibilities
-Provides a consultative, influential, and collaborative approach to problem solving
-Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
-Effective relationship skills with the ability to make sound judgment calls
-Ability to stay calm and patient when faced with challenging situations
-Self-directed and comfortable in a highly professional, fast-paced environment
-Excellent organizational skills
-Previous experience in financial services environment, preferred
-A bachelor''s degree preferred
